Privacy Statement Job Applicants

This is the privacy statement for Job Applicants of Vitestro (hereinafter “Vitestro”, “we” or “us”). Your privacy is of great importance to us. In this privacy statement, we explain, among other things, which personal data is collected from you, how we collect that personal data, how and why we process that data (or have this data processed) and for what purposes.

Personal Data

For us, personal data is anything that says something about you or that we can associate with you. More concretely the following personal data is collected:

  • First name
  • Surname
  • Address
  • Date of birth
  • Sex (male/female/other)
  • Telephone number
  • E-mail address
  • CV (including any photos, hobbies etc. mentioned in the CV)
  • Letter of motivation
  • Driving license
  • Level of education
  • Any Professional experience
  • Any References
  • Results of any screening or assessment
  • Summaries of any interviews held with you
  • Any ‘Verklaring Omtrent Gedrag’
  • Salary indication/Rate
  • Any Languages
  • Availability

Processing Personal Data

Processing means nothing else than that we store your personal data, analyse it, use it and delete it. This processing is necessary for the recruitment process. We need to process your personal data for three main reasons:

1.       To communicate with you.

2.       To assess your suitability for the role you have applied for.

3.       To be able to make you an appropriate offer in the case we decide to hire you.

4.       If you allow this, to enable us to approach you for potential future vacancies.

How do we collect and process your personal Information?

Vitestro makes use of Recruitee (www.recruitee.com) for its recruitment process. This is an online platform through which you yourself can provide all personal data that we process.

This means that Vitestro itself does not store any personal data of you during the recruitment process. Everything is in Recruitee.

Vitestro uses Recruitee because it streamlines the recruitment process and ensures good security of your data. It also allows Vitestro recruiters to share your personal data easily with only those Vitestro staff members that are involved in your recruitment process and no one else.

It also gives you more control over your personal data. You can at all times view your personal data in Recruitee and correct, update or delete all the information that you have provided.

Vitestro also uses MetaView AI Note Taker during interview sessions. This program makes audio and/or video recordings of interview sessions with any candidates and makes summaries of the conversations. This ensures that the Vitestro staff can focus on the interview rather than also having to make notes at the same time.

Please note that you will always be asked for permission to use MetaView AI Note Taker and that you are free to object to its use. Objecting to its use will in no way effect our opinion of you.

How long do we store your personal data?

We store your personal data in Recruitee in principle only for the duration of your recruitment process. This means the following:

  • If we have decided to hire you and you have accepted our offer, Vitestro will again ask you to provide personal information which will then be entered into Vitestro’s HR systems. All data entered into Recruitee will be deleted.
  • Should we not make you an offer for the job you applied forall your personal data will be (automatically) deleted at the latest two weeks after the day that we have informed you that we will not make you an offer.
  • However, we generally request permission from candidates to keep their files on record for an additional year. We do this because we may want to approach them in the future for a vacancy that we believe may be of interest for them.
  • After one year we will again request by e-mail if we can store the personal data for an additional year (so for a total of two years). After that two year period your details will be deleted automatically.

Please note that at any given time you can inform us that you withdraw your permission to store your personal data! In that case your personal data will be deleted as soon as reasonable possible and at the latest one week after you have informed us.
